Paystubs and Tax Filing: Reconcile Your Records
Compare payroll records with your tax documents and follow the IRS process for a missing or incorrect W-2.
Best Paystub Generator creates simulated earnings documents for lawful personal record-keeping. It does not verify employment or income and does not replace records issued by an employer or payroll provider.
Compare like-for-like payroll and tax fields
Use the issued year-end pay statement and W-2 for the same employer and tax year. Gross earnings, federal taxable wages, Social Security wages, and Medicare wages are not interchangeable fields. If totals differ, ask payroll for the explanation rather than forcing all boxes to equal the gross-pay total.
Follow the missing-W-2 process
The IRS advises contacting the employer when a W-2 is missing or wrong and provides further steps, including Form 4852 when appropriate. Read those instructions for your situation. An editable earnings PDF from this site is not a W-2, Form 4852, or a tax return.
Use a draft as a reconciliation aid
Record the dates and amounts you can support, retaining the original statements and correction correspondence. When copying past withholding, turn off automatic tax estimates and use the actual recorded amounts. This tool does not file a return or transmit payroll corrections to the IRS.
What this guide covers
- Match the employer and tax year
- Compare withholding fields separately
- Request corrections from the issuer
Frequently asked questions
Can I file the generated PDF as my W-2?
No. Use the employer-issued tax form or follow the IRS’s official instructions for a missing or incorrect form.
Should I replace actual withholding with an estimate?
No. For a record of a past payment, copy the withholding shown on the issued statement. An estimate is not evidence that tax was withheld.
